We are a locally owned medical spa in McFarland, WI, minutes from Madison, and recently opened our second location in Madison! We are looking for another Clinic Coordinator who is passionate about this industry to join our team! This person will play an integral role in ensuring all aspects of the “front of house” run smoothly and efficiently. They will be a key liaison between our clients and employees thus contributing to the overall continued success of our company of our company.

Education and Experience

• Minimum 1-year experience working in professional office environment
• Minimum 1 – year experience of excellent customer service
• Experience in a cosmetic medicine clinic is preferred
• High School Diploma

Responsibilities:

Primary Focus:

• After Clinic Coordinator training completion must be able to work with minimal supervision, expected to coordinate daily operations independently.
• The client is the #1 priority and ensuring the client has an excellent experience from check-in to check-out
• Efficient utilization of all software programs. Able to work quickly between multiple programs. (Nextech, Office, Google docs, Alle, Aspire, McKesson, etc.)
• Checking clients in and out for their appointments. Assisting them with scheduling future appointments.
• Answering phones and website inquiry forms from existing and potential clients.
• Processing cash, check, and credit card transactions. Balancing the cash drawer at the beginning and end of each shift.
• Highly versed in all of our services and treatments to effectively educate clients on what we offer and what might be best for them – but always referring to providers making the final decision
• Continual communication and follow-up with providers on patient updates, requests, appointment changes, etc.
• Ability to assist clients with basic skincare needs or refer to providers for guidance on skincare treatment plans
• Following up on client experiences to ensure client retention

Secondary Focus:

• Inventory Management including placing orders, checking in inventory, stocking properly & reconciling monthly inventory reports
• Scheduling staff trainings and meetings, etc.
• Participating and attending in-service educational programs, staff meetings, and clinic events.
• Ensuring cleanliness/tidiness of reception area/waiting area to maintain pristine client and work environment
• Assisting with laundry as needed

Schedule

• 40 hours/week ( Full time)
• Monday – Friday to include a combination of opening (7am/9am) mid (10-6) and clinic closing shifts (7pm/8pm)
• 4-day work options available!
• No weekends or holidays!

***Occasional flexibility is appreciated if available to cover other clinic coordinators time off, appts, etc.

NP/PA for Madison -University Ave. Location:

We are a locally owned medical spa in the Madison, WI area with two clinics: West Side- Madison and South Side – McFarland. Our fun team of professionals is looking for a NP/PA or RN currently in NP school who is passionate about this industry to join our team to play an integral role in assuring the aesthetic needs of our clients are being met, along with contributing towards the business and teams continued growth and success.

Licenses/Certifications/Registration:

Required Credential(s):

• Advanced Practice Nurse Practitioner, licensed in the State of Wisconsin Board of Nursing with Prescriptive authority.
• RN’s actively enrolled in a Nurse Practitioner program are also encouraged to apply with a graduate date of less than 1 year.
• Physician Associate, Licensed in the State of Wisconsin.

Education:

• Graduate of a board-approved Masters or Doctorate prepared Nurse Practitioner program or on course to do so – OR – Graduate of board-approved Physician Associate program.
• MUST HAVE gone through an accredited program on Neuromodulators and Dermal fillers course.

Certification:

• Certified Aesthetic Nurse Specialist – Preferred

Work Experience:
Medical spa experience is preferred.

Working Environment/Tasks/Responsibilities:

-Proficient in administering Botox, Dysport, Sculptra, Kybella, and the Allergan and Galderma lines of fillers.

-Proficient with weight loss programs utilizing semaglutide and NAD.

-Administers injectable treatments to new and existing patients.

-Works with the Licensed Estheticians to complete the clients skin health journey with utilizing skincare, chemical peels, laser, cool sculpting, etc,

-Performs customer service follow-ups to ensure overall customer service satisfaction.

-Charts electronically on all services performed and treatment recommendations.

-Maintains an understanding of all products and services offered at ANEU Med Spa to maintain proficiency in client education.

Schedule:

-Monday – Friday

-no weekends or holidays!

-2 evenings per week/ working until 7pm is required
